Closentry in one minute

Month end should not mean a week of spreadsheets. Meet Closentry. Bank accounts, supplier and customer statements, control accounts and intercompany, all in one app. Drop in the files you already have. Closentry matches them for you, so you only resolve the exceptions. Every item left over tells you, in plain words, why it is there. Account reconciliations come straight from your trial balance, for every balance sheet account. Each reconciliation moves from preparer to reviewer to approver, and nobody approves their own work. Your month end close in one view: what is late, what is blocked, and what is waiting for you. Every decision is recorded in a signed audit trail your auditors can verify. All on your own computers. Closentry never sends your financial data anywhere. Closentry. Try it free for thirty days.

For finance teams

Finance managers: is your month end close under control? Every close task in one place, with an owner, a reviewer and a due date. See at a glance what is overdue, and what is blocked by other tasks. Reconciliations move from preparer to reviewer to approver, and nobody approves their own work. Every action is recorded in a chained audit trail your auditors can verify. Closentry. Close the month with confidence. Try it free.

The short version

Month end reconciliations in minutes, not days. Load your bank statement and ledger. Closentry finds the matches, and explains each one. Review, sign off, and export your statement. Closentry. Free for thirty days.

Bank rec in 2 minutes

Can you do a bank reconciliation in two minutes? Watch. Drop the bank statement and the ledger. Click run. Eighty five percent matched automatically in our demo. Press A to accept the rest, or a number for a reason. Difference, zero. Done. Closentry. Free trial, link in bio.

Private by design

Uploading bank statements to someone else's cloud? With Closentry, files are read on your own computer. Nothing is uploaded. Every action is logged, with who did it and on which computer. You can even encrypt your data with your Windows login. Closentry. Private by design. Try it free.

Map a bank statement

Mapping a bank statement. Under I am importing, choose Bank statement. Pick the card that looks like your file. Check the date and amount columns, and add the reference if there is one. A debit means money went out. This is already set. Compare money in and out with your statement. Green means it reads cleanly.

Installing and first start

Welcome to Closentry. In this video you will install the app, start it for the first time, and set it up for your company. Closentry is a single program file called Closentry.exe. Copy it to a permanent folder, for example an Apps folder in your user profile, and double-click it. There is nothing to install and no administrator rights are needed. If Windows shows "Windows protected your PC", click More info, then Run anyway. You only see this once. The first time it opens, the Getting started panel lists the six steps, from your files to a signed-off reconciliation. You can open this panel again at any time from the question mark button in the top bar. Before your first real reconciliation, open Setup at the bottom of the side menu. Enter the company name and the preparer. Both appear on reports and on the sign-off. Check the base currency, the number of decimals, and the date format. For dinar currencies, choose three decimals before loading any files. Below, the matching profile sets sensible defaults. Standard suits most banks. Date windows and tolerances are under Advanced matching settings, further down. Most people never need them. Changes apply the next time you reconcile. To practise safely, open Import data and click Try sample data. A demo bank statement and cash book are loaded. Clear, on the same page, removes the sample when you are ready for real files. Every feature is open for thirty days. The top bar shows the days left. The Licence page shows your trial and is where you enter a licence key. That is covered in the next video. That is all it takes to install Closentry. Next, learn about the trial and licence keys.

Licence keys and the free trial

This video explains the free trial, how to enter a licence key, and what happens when a licence ends. Open Setup in the side menu, then the Licence tab. The status card shows your trial or plan and the days left. On the right you see what is included, and this computer's code. When you buy, you receive a licence key by email. Paste the key into the box, or click Open .lic file and choose the file. Then click Activate. The status changes to your plan and its end date. Trial extension keys go into the same box. Some licences are tied to one computer. In that case, send the code shown under This computer's code when you buy. Starter is for one person. Team adds the shared folder, approvals and the month-end close for up to five people. Business adds the intercompany group for up to twenty people. Seats count preparers, reviewers and approvers; viewers are free. For a team, the admin activates one key, and it covers everyone who uses the team folder. When the trial or a licence ends, the app becomes read only. Nothing is deleted. You can still open, print and export everything. Paid licences get seven extra days of grace. Enter a new key at any time to continue working. Next, set up a team folder so colleagues can review and approve your work.

Setting up a team

In this video the finance admin sets up a team, so reconciliations can be prepared, reviewed and approved by different people. A team shares one folder: a network drive, or a OneDrive or SharePoint folder synced to every PC. Everyone runs the app on their own computer, and is recognised by their Windows login. There are no extra passwords. Your login is shown here, with a copy button. Colleagues send this to the admin, so the admin can add them. First, IT creates the folder and gives only the finance team modify rights on it. In File Explorer, hold Shift, right-click the folder, and choose Copy as path. On Team and roles, paste the path under Create a team, enter a team name, and click Create the team. You become its admin. After the team is created, add each colleague by their login, with their name and roles, and choose the approval policy: one or two levels. Admins manage people. Preparers prepare and submit. Reviewers review. Approvers give the final approval and close the month. Viewers can only look. Separation of duties is enforced: nobody reviews or approves work they prepared. Each colleague installs the app, opens Team and roles, pastes the same folder path under Join a team, and clicks Join the team. From now on, reconciliations are saved as workpapers in the shared folder, and the work waiting for each person appears here. Remember to include the team folder in your backups. Your team is ready. Next, watch the complete walkthrough of a reconciliation.

Complete walkthrough

In about five minutes, this video takes you through a complete bank reconciliation, from two files to a signed-off statement. Start on Import data. Choose what you are reconciling, here a bank reconciliation. Drop the bank statement on the left and the cash book on the right. Excel, CSV, PDF and bank formats such as OFX and MT940 are all read on your computer. Nothing is uploaded. Check the line counts and dates, then click Next. Tell the app how the file shows amounts: debit and credit columns, one signed column, or an amount with a debit credit marker. The date, amount and reference columns are guessed for you. Check them, and watch the totals on the right agree with your file. On Reconcile, the period end is filled in from the files. You can bring forward last period's open items here. Click Run reconciliation. Matching takes a few seconds. The Summary tells you where you stand. Here, the balances agree, and ninety eight items need a person to check them. Eighty five percent of the lines were matched automatically. Open the review queue. Each item is shown with both sides and why it needs a look. Press A to accept, R to reject, or a number from one to eight to give a reason, such as a timing difference or a bank charge. N moves to the next item. On Match results, click any row to see why it matched, in plain words: the parts, the direction, the amounts and the references. You can accept it, unmatch it, or add a reason and a note. Everything is recorded in the audit trail. The reconciliation statement takes the closing balances from your files. Confirm them against the bank statement. Deposits in transit, outstanding cheques, and bank items not yet in the books are listed automatically, and the difference must be zero. When the checklist is complete, enter the preparer and the reviewer, and click Sign off and lock. A signed-off reconciliation cannot be changed. Unlocking needs a reason, and both are recorded. Finally, Export and print gives you the full Excel report, the printable statement, and the open items to bring forward next month. You have completed your first reconciliation. The feature tutorials go deeper into each screen.

Import and map columns

This tutorial covers loading files and mapping their columns correctly. First choose what you are reconciling: bank, supplier statement, customer, control account, intercompany, or any two lists. Each type has its own defaults, for example a longer date window for suppliers. Drop the file for each side, or click Choose file. The app finds the header row, and leaves out totals, balance lines, letterheads and footers. Each card shows the lines read and the date range, so you can see straight away if the wrong file was loaded. To reconcile several bank accounts against one ledger, use Add another file. Each file keeps its own column mapping. On Map columns, choose the file under I am importing, then pick the amount layout card that looks like your file. Only the fields that layout needs are shown. Check the guessed columns. Date and amount are required. A reference greatly improves matching. Guess again re-reads the columns. Save as template remembers this layout, so next month the same file maps itself. Each side already knows what a debit means: money went out on a bank statement, money came in for the books. Change it only if the totals look swapped. Number and date formats, the header row and filters are under Advanced options, closed unless they are needed. Always compare the money in and out on the right with your file's totals. When everything is read cleanly, the box turns green. Your files are ready. Next, run the reconciliation.

Reconcile and brought forward

This tutorial explains the period, items brought forward from last month, and the run. Reconcile up to is the period end, filled in from your files. Lines after it are left out. Bank from and Books from let you leave out older lines. Below, you see each file's own date range and line count. Items that were open last month belong in this reconciliation too. From last period uses the open items saved in History for the same account. From file reads the app's open items export, or your existing reconciliation sheet. Brought-forward items can be cleared by any later line, and are marked b/f if still open. The run panel shows the matching profile and the lines on each side. Click Change for a stricter or looser profile. Click Run reconciliation. If you run again later, your earlier decisions, such as accepted matches and reasons, are kept. At the end of the month, Export open items, or Save period to history, so next month can bring them forward automatically. Next, learn to clear the review queue quickly.

The review queue

The review queue is where a person checks the matches and open items that need judgement. The queue holds matches by amount only, combined and split matches, tolerance and foreign currency matches, anything below ninety percent confidence, and open items. Each item starts with why it is here, in plain words. Then the bank lines and the book lines side by side. Press A to accept a match, or to keep an item as an open item. Press R to reject or unmatch. N and P move between items. Numbers one to eight set a reason: timing difference, bank error, missing entry, duplicate, bank charge, FX difference, to investigate, or other. An item leaves the queue once it is decided, and every decision is written to the audit trail with your name. If you know which line an item belongs to, click Match manually to pair it yourself. Next: match results and the match drawer.

Match results

This tutorial shows how to find, check and correct any match. The chips at the top filter the list: everything, items to review, matched, not in books, not in bank, or combined and split matches. Search by reference, description or amount, and click any column heading to sort. The By rule tab groups matches by how they were found. Tick several rows to accept them, give them a reason or a note, tag them, or unmatch them, in one step. Click a row to open its drawer. It lists the lines on each side, and explains in plain words why they match, with a confidence score. Choose a reason, write a note about what you checked, then accept or unmatch. The arrows at the top step through the list, and Escape closes the drawer. Next: manual matching and exceptions.

Manual match and exceptions

This tutorial covers matching lines by hand, and explaining what is left open. Manual match starts with suggestions: likely pairs the engine did not match on its own, each with how likely it is and why. If a suggestion is right, click Match. Below are the open lines of both sides. Search or sort, and tick one or more lines on each side. The totals and the difference update as you tick. When the difference is zero, click Match, and add a reason or a note if needed. Exceptions lists every line still unmatched, split into not in books and not in bank, and aged from the statement date. Give each open item a reason and a note. Reviewers expect every open item to be explained before sign-off. Tip: Auto-tag rules can set reasons for recurring lines, such as bank charges. Next: the reconciliation statement and sign-off.

Statement and sign-off

This tutorial explains the statement, the outstanding items, and how to sign off. The closing balances are taken from your files. Check them against the bank statement and the trial balance, then click Confirm balances, or type the right figure. The statement adds deposits in transit and subtracts outstanding cheques on the bank side. On the book side it adds receipts and subtracts charges that are in the bank but not yet booked. It shows Adjusted balances agree only when the difference is exactly zero. Outstanding items lists every reconciling item by category, with its age. On the Summary, the sign-off checklist shows what is still needed: confirmed balances, a zero difference, an empty review queue, and a reason for every open item. Enter the preparer and the reviewer, and click Sign off and lock. If points are still open, you are asked why. The reconciliation is now locked. Print statement gives a one page statement with signature lines. Next: exports and your own report format.

Exports and custom reports

This tutorial shows every output, and how to fill your own report format. Export and print lists every output. The Excel report has the summary, the statement, every match with its rule and confidence, exceptions, reasons, notes and the audit trail. You can also download every line as CSV, or the printable statement. Open items to carry forward feeds next month. A session file saves everything, to continue later or on another computer. Custom report fills a layout you already use. Click Upload format and choose your Excel or CSV file. Its header row becomes the columns. Each column is mapped automatically. For any column marked not mapped, choose where it is filled from. When a match has several lines, choose to sum or join them. The preview shows the first rows. Title cells can use placeholders like company, period and prepared by. Download Excel writes into a copy of your own workbook, keeping your logo, colours and column widths, with real dates and numbers. Next: workpapers and approvals for teams.

Workpapers and approvals

This tutorial shows how a reconciliation moves from preparer to reviewer to approver. In a team, each reconciliation is a workpaper in the shared folder. The cards count workpapers in progress, waiting for review, approved, and returned. A preparer clicks New workpaper, gives it a name and a period, and starts it from the current session. The workpaper bar shows which workpaper is open, its status, and that you are editing it. Others can open it read only. Changes are saved automatically. When the work is done, click Submit for review on the Summary. The sign-off checklist is checked, and open points need a short explanation. The reviewer finds it on Home under Waiting for you, and in Approvals. They approve it, or return it to the preparer with a comment. With two-level approval, an approver then clicks Approve and lock. The workpaper is signed off with all three names. Nobody can review or approve work they prepared, and only an approver can reopen an approved workpaper, with a reason. Next: the month-end close.

Month-end close

This tutorial shows how the team closes the month in Closentry: close periods, tasks and account reconciliations. Close, Overview shows where the close stands: completion, overdue and blocked tasks, and what waits for review or approval. Every figure opens the records behind it. In this demo the dates are in the past, so tasks show as late. A close period is created from templates, or copied from an earlier close. Each task has an owner, a reviewer and a due date in working days after the period end. Owners start their tasks and submit them for review. A task cannot be finished before the tasks it waits for, or without its required evidence. After the trial balance is imported, every required account gets a reconciliation workpaper. The workpaper shows the GL balance less the support, adjustments and reconciling items. The unexplained difference must be within the materiality before it can be submitted. When the controls pass, the period goes for review and an approver closes it. Failing controls are listed, and only an approver can override them, with a reason that is recorded. A closed period is read only. Reopening it needs a reason too. Next: reconciling the whole group at once.

Intercompany group

This tutorial shows how to reconcile every pair of group companies in one run. Click Add company ledger once for each company: its intercompany accounts, or its whole general ledger. Give each company its name and any other names it appears under. The app finds which partner each line is with, from a column or from the narration. Choose a date if needed, and click Reconcile all pairs. A matrix shows which pairs agree, and the difference for those that do not. Open loads a pair into the normal reconciliation screens, line by line. Record disputes per pair, with an owner and notes. See a netting proposal with the fewest payments that settle the group, and the elimination entries for consolidation. Export confirmation pack creates one workbook with a balance confirmation for each pair, ready to sign. Next: Home, history and audit trail.

Home, history and audit trail

This tutorial covers the screens that keep you and your auditors informed. Home shows what is waiting for you, the current closes and the bank matching at a glance. Click any card to go to that screen. On Transaction matching, the Overview tab lists what still blocks the sign-off, by priority. The chart shows how the lines were matched. History keeps a snapshot of every period you save: the match rate, exceptions and lines, so you can see the trend. Its open items are also the source for bringing items forward next month. Auto-tag rules give recurring lines a reason automatically. For example, a description containing charges gets the reason bank charge, and the tag fees. The audit trail records every import, match, review, export and settings change, with the Windows user and computer. Entries are chained, so the page shows Chain verified, or the first entry that was changed. The log is never trimmed. Next: settings and keyboard shortcuts.

Settings and shortcuts

This last tutorial covers the main settings, and the shortcuts that save time every day. Company settings appear on reports and the sign-off. Set the decimals before loading files, for example three for dinar currencies. The matching profile sets every matching rule. The date window, tolerances and bank fee allowance are under Advanced matching settings, further down. Most people never need them. Further down, privacy and compliance lets you encrypt saved data with your Windows login, mask account numbers in exports, and set the cash reporting threshold. Press Ctrl+K anywhere to search for a screen or an action. Alt and a number jumps to the sections of the side menu. On the bank matching screens, Ctrl+Z and Ctrl+Y undo and redo. Press the question mark key to see every shortcut. You now know every part of Closentry. The User Guide has more detail on each screen.
